Draft wording prepared for Samurai Productions. Have a solicitor check it before launch.

This policy explains what personal data Samurai Productions Ltd collects through samuraiproductions.com, why, how long we keep it, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).

Who we are

Samurai Productions Ltd is the data controller. We are registered in England and Wales, company number 11637014, with our registered office at 71–75 Shelton Street, Covent Garden, London WC2H 9JQ.

For anything about your data, email info@samuraiproductions.com.

What we collect and why

Project briefs and enquiries

When you send a brief or an enquiry we collect your name, company, email, phone number, the countries and dates you are considering, your approximate budget and anything else you choose to tell us. We use it to reply, quote and plan the production. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.

Crew and equipment requests

We collect your contact details and the crew, kit and vehicles you need, to check availability and send a price. Lawful basis: steps before a contract.

.director applications

If you apply to join the .director roster we collect your name, contact details, showreel link, location, specialisms and any CV or headshot you upload. Karim and Kamal review each application. Lawful basis: our legitimate interest in assessing directors for representation, and steps before a contract if we offer one. Please do not send health information or other special category data; we do not need it.

Newsletter

If you subscribe we keep your email address to send you shooting guides and news. Lawful basis: your consent, which you can withdraw at any time with the unsubscribe link in every email.

Technical data

Our hosting provider records standard server logs (IP address, browser type, pages requested and time) to keep the site secure and working. Lawful basis: our legitimate interest in running a secure website.

Analytics

Only if you press Accept on the cookie notice, Google Analytics records which pages you visit, roughly where you are (city or country), your device and browser type, and how you found the site. We use it to see which pages are useful. Google does not store your IP address, and we have turned off Google signals and ad personalisation. Lawful basis: your consent, which you can withdraw at any time with Cookie settings at the bottom of every page.

Who we share it with

We do not sell your data. We share it only with service providers who process it on our instructions:

  • Vercel Inc. (website hosting)
  • Google LLC (Google Workspace, where our email and form submissions are kept, and Google Fonts)
  • Google LLC (Google Analytics, only if you accept analytics cookies)
  • Resend (delivers form submissions from this website to our inbox)
  • Mailchimp, by Intuit (newsletter list and delivery; you confirm your subscription by email and can unsubscribe from any newsletter)
  • MET Norway, when you use the weather tool or the World globe: your browser requests the forecast directly, so they receive your IP address
  • On the World globe, your browser also contacts NASA (rain maps), Komoot's Photon service and the OpenStreetMap Foundation's Nominatim service (place and address search), Amazon Web Services (terrain tiles), OpenFreeMap (street map tiles) and jsDelivr (a code library for satellite positions). Each receives your IP address and what it is asked for, such as the place you searched. We do not send them anything else.
  • Films on the Work and Projects pages play from Vimeo or YouTube (Google). Nothing loads from either until you press play. Vimeo then plays in its do-not-track mode; YouTube plays from its privacy-enhanced domain but may set cookies once a film starts. Both receive your IP address.

We may also share data if the law requires it, or with professional advisers under a duty of confidentiality.

International transfers

Some providers store data outside the UK, including in the United States. Where they do, the transfer is covered by UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework) or by the ICO's International Data Transfer Agreement or Addendum.

How long we keep it

  • Briefs and enquiries that do not become a project: 2 years from our last contact
  • Project and client records: 6 years after the project ends, for tax and contract purposes
  • .director applications we do not take forward: 12 months
  • Newsletter subscribers: until you unsubscribe
  • Server logs: as set by our hosting provider, normally 30 days
  • Analytics: up to 14 months in Google Analytics

Your rights

You have the right to access your data, to have it corrected, to have it erased, to restrict or object to our use of it, to data portability, and to withdraw consent at any time. To use any of these rights, email info@samuraiproductions.com. We will reply within one month.

If you are unhappy with how we handle your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Our Cookie Policy explains the small amount of information we store on your device.
